Lief lid,

Als je deze blog leest, betekent dat waarschijnlijk dat jij interesse hebt om de commissaris intern van de VCSVU te worden. Wat ontzettend leuk! Dit jaar is er helaas geen commissaris intern in ons bestuur, wat betekent dat de taken van deze functie over de zittende bestuursleden zijn verdeeld. Omdat ik de meeste taken van deze functie op mij heb genomen, zal ik jullie vertellen wat deze mooie functie jou te bieden heeft. 

Als commissaris intern ben je, zoals de naam al suggereert, een belangrijke schakel in de interne communicatie. Je houdt je er dagelijks mee bezig om leden en andere betrokkenen op de hoogte te brengen van alle zaken die binnen de vereniging spelen. Doordat je je als commissaris intern veel bezighoudt met communicatie, zal je met de secretaris moeten samenwerken om dit succesvol te kunnen doen. 

De promotie van de activiteiten is voor de commissaris intern toch wel een van de meest prominente taken. Dit doe je door posters te ontwerpen in Canva, aansprekende tekstjes en captions te schrijven en alles te delen via social media en de weekmail. Omdat het maken van een poster voor iedere activiteit ontzettend veel tijd kost, heb je een waanzinnige commissie om je hierin te begeleiden. Hierdoor hoef jij zelf alleen nog de tekstjes te schrijven en de posters voor de bestuursactiviteiten, zoals studie-uren, Algemene Ledenvergaderingen (ALV’s), sollicitaties, etc. te maken. De Promotie Commissie zal de rest doen. Ook maken zij maandelijks een TikTok video en een maandelijkse recap die jij mag delen op de socials! Omdat de commissaris intern zo nauw betrokken is met de Promotie Commissie is het meer dan logisch dat jij hiervan de voorzitter bent. In deze rol zal je twee maal per jaar vergaderen met de commissie om per semester de poster, TikTok/recap en fotodiensten eerlijk te verdelen onder de leden van de commissie. Om ervoor te zorgen dat alles goed verloopt stuur je reminders naar de commissie en stuur je tijdig de benodigde informatie door.

De promotie wordt zoals ik eerder al even had benoemd ook gedaan via de weekmail. Als commissaris intern is het jouw taak om ervoor te zorgen dat iedere maandag een nieuwe editie van de weekmail bij de leden in de mailbox verschijnt. In de weekmail worden naast promotie ook de maandagenda, vacatures, K.N.P.S.V. evenementen en posters van sponsoren gedeeld. In de eerste weekmail van de maand wordt ook de Nieuwe Binding meegestuurd. Dit is een document waarin wordt verteld wat er de afgelopen maand heeft plaatsgevonden binnen de vereniging en wat de komende maand te bieden heeft. Wanneer je de Nieuwe Binding geschreven hebt dien je deze ook naar de ereleden, leden van verdienste, alumni, de K.N.P.S.V. en haar afdelingen te versturen per mail. 

Als commissaris intern moet je echt houden van websitebeheer. Om de website in haar volle potentie te kunnen gebruiken moet alles regelmatig worden bijgewerkt. Zo moet de agenda na iedere ALV worden aangevuld, moeten de aanmeldingen voor evenementen geopend en gesloten worden, blogs zoals deze gepubliceerd worden, belangrijke documenten op de site worden geplaatst ter inzage en de teksten en foto’s op iedere pagina relevant worden gehouden. Ik denk wel dat ik voor alle commissarissen intern kan spreken als ik zeg dat ik het favoriete onderdeel van websitebeheer nog niet benoemd heb, het uitzoeken en plaatsen van de foto’s. Het is namelijk ontzettend leuk om na een activiteit nog even te kunnen nagenieten van wat er allemaal is gebeurd. 

Tot slot ben je als commissaris intern nauw betrokken bij de commissies. Voor iedere ALV roept de commissaris intern alle commissievoorzitters bij elkaar voor het Commissie Overleg VCSVU (COV). Op deze open vergadering wordt er besproken wat er binnen commissies gebeurt, of zij hulp nodig hebben van het bestuur, wat de huidige leden in de commissie zijn, etc. Doordat je als commissaris intern zo nauw betrokken bent bij de commissies, moet je ook het actieve ledenbestand bijhouden en overhandig je de Studie Actief Certificaten (SAC). 

Uiteraard is het doen van een bestuursjaar veel meer dan alleen het uitvoeren van je taken. Je doet het immers samen met (voor jullie hopelijk vier) medebestuursleden. Dear member,

If you are reading this blog, it probably means that you are interested in becoming the commissioner of internal affairs of the VCSVU. How great! Unfortunately, this year our board does not have a commissioner of internal affairs, which means that the tasks of this position have been divided among the current board members. Since I have taken on most of these tasks, I would like to tell you what this wonderful role has to offer.

As commissioner of internal affairs, as the name suggests, you are an important link in internal communication. On a daily basis, you keep members and other involved parties informed about everything that is going on within the association. Because communication is such a central part of this role, you will work closely together with the secretary to ensure everything runs smoothly.

One of the most prominent tasks of the commissioner of internal affairs is promoting activities. This is done by designing posters in Canva, writing engaging texts and captions, and sharing everything via social media and the weekly newsletter. Because creating a poster for every activity takes a lot of time, you are supported by an amazing committee. This means that you mainly focus on writing texts and creating posters for board-related activities, such as study hours, General Members’ Meetings (GMMs), applications, and more. The Promotion Committee takes care of the rest. They also create a monthly TikTok video and a monthly recap, which you can share on social media. Since the commissioner of internal affairs works so closely with the Promotion Committee, it is only logical that you are the chair of this committee. In this role, you meet with the committee twice a year to fairly divide poster duties, TikTok/recap tasks, and photo services per semester. To ensure everything runs smoothly, you send reminders and provide the committee with all necessary information in a timely manner.

Promotion is also carried out through the weekly newsletter. As commissioner of internal affairs, it is your responsibility to ensure that a new edition of the weekly newsletter is sent to members every Monday. Besides promotions, the newsletter includes the weekly agenda, vacancies, K.N.P.S.V. events, and sponsor posters. In the first newsletter of each month, the Nieuwe Binding is also included. This document provides an overview of what happened within the association in the past month and what the upcoming month has to offer. After writing the Nieuwe Binding, you also send it by email to honorary members, members of merit, alumni, the K.N.P.S.V., and its departments.

As commissioner of internal affairs, you really need to enjoy website management. To use the website to its full potential, it must be updated regularly. This includes updating the agenda after each GMM, opening and closing event registrations, publishing blogs like this one, uploading important documents for members to view, and keeping texts and photos on every page relevant. I think I can speak for all commissioners of internal affairs when I say that I have not yet mentioned the best part of website management: selecting and uploading photos. It is incredibly fun to relive an activity by looking back at the photos afterward.

Finally, as commissioner of internal affairs, you are closely involved with the committees. Before each GMM, you bring all committee chairs together for the Committee Consultation VCSVU (COV). During this open meeting, committees discuss what they have been working on, whether they need support from the board, and who the current members are. Because of your close involvement with the committees, you are also responsible for maintaining the active members list and awarding the Study Active Certificates (SAC).

Of course, doing a board year is about much more than just carrying out your tasks, you do it together with (for you hopefully four) other board members.
