Dear VCSVU'er, Dear Reader,
This week you can once again enjoy the fun blogs that the board will be writing for you. I get to start this time so I will take you through the duties of the chairman. The tasks I perform all are quite diverse. The best thing about being chairman is that every day is different. I chair meetings and am part of many meetings. In addition, the chairman is also the face of the association. If something needs to be presented about our association, I will lovingly take the floor every time to explain what VCSVU stands for and what our values are. In addition to all these duties, the chairman is also ultimately responsible for the association. This means that I see to it that everyone performs his or her duties well and everything runs smoothly. Should this not be the case, I am the one who is accountable to the association, the faculty board or even the university. As you can see, the chairman has many different responsibilities.
As I mentioned, I conduct a lot of meetings. I chair meetings within our own association, chairing means I make the agenda for that meeting and make sure it goes well. So I give everyone a chance to give their opinion on a topic and I decide when we move on to the next topic. One of the meetings are our own Board Meeting (BV). A BV is a weekly meeting with the 59th board of VCSVU, here we discuss important developments for the upcoming period and specifically for that week. These meetings are pretty light-hearted though, we always start with a point of 'announcements' where each board member can tell what they have been doing. Jokes are also often made during the rest of the meeting to keep it fun. The agenda for this meeting varies each week based on what is going on within the association. Other meetings I chair are: Board consultation (BO) and General Membership Meetings (ALV). At a BO you meet with former boards of the VCSVU or it with K.N.P.S.V. to get their opinion on certain topics. The ALV is a meeting that is a lot more serious anyway. This is where I talk about what has happened in the association recently and where we account for the choices we have made. Fortunately, I always have my board sitting next to me, but I am the one who leads this meeting and who is asked questions first. So you have to be firm in your feet to withstand all the questions and criticism.
In addition to chairing meetings, I also participate in important consultations. These include, for example, monthly consultations with all the chairman of study associations within the BETA faculty and the Faculty Student Council, called the Beta Consultation (BO). It also includes the monthly with the faculty board, we often do this over lunch and that is why it is called the Lunch Consultation (LO). Often we have the BO and the LO consecutively. In this we can discuss in advance during the BO points we want to ask the faculty board. These meetings are always in English because there are a few chairs who do not speak Dutch and so that the minutes can be read by everyone at a later stage. Topics that are discussed here are important developments such as housing, security and revision of official documents. Personally, I like these meetings the most because lunch is always arranged (paid for by the VU). Then we also have the University Associations Consultation (UvO) meetings, which is a meeting with all the presidents of all the study associations and the university student council (USR). Here we discuss things that are important for the study association and its directors. We often end these meetings with pizza ordered by the USR.
Then we also have the many talks given by the chairman. Whenever VCSVU is invited to speak somewhere, I know I get to tell wonderful stories about our association again. For example, we are asked to speak during introduction week and at alumni symposium. Here I tell what VCSVU stands for, what we have been working on in recent years and how we see our association in future perspectives. In addition to these types of informative presentations, I often get to tell stories that have a little less substance. It is common for the chairman to have a nice improvised talk at various times. For example, this is the case during Constitutional Drinks of other study associations. Here I get to talk as long as I want, of course behind my long story there are very deep meanings and philosophical questions that boards lie awake about for up to weeks afterwards. In addition, I also always get to speak at the annual dinner of the departments, the most fun of which is that every chairman wants to speak just a little longer than the one before him. In short, I get to tell a lot of stories that everyone wants to listen to attentively.
In short this is a job where every meeting, every talk, and every day is different. You have to be able to stand your ground well to represent the opinion of the association and you have to be able to stand being in the spotlight often. I have been able to develop myself very much in this role over the past few months. I have learned many things that I will all take with me into my further career after my student days. I hope I have been able to give you an insight into the tasks that I take on as the most wonderful position on the board. Because as they say: there is only one function 1. Deze week kunnen jullie weer genieten van de leuke blogs die het bestuur voor jullie zal schrijven. Ik mag deze keer beginnen dus ik zal jullie meenemen in de takenpakket van de voorzitter. De taken die ik allemaal uitvoer zijn vrij divers. Het leukste aan voorzitter zijn, is dat elke dag anders is. Ik zit vergaderingen voor en maak deel uit van veel vergaderingen. Daarnaast is de voorzitter ook het gezicht van de vereniging. Als het iets verteld moet worden, zal ik elke keer met liefde het woord nemen om uit te leggen waar de VCSVU voor staat en wat onze waarden zijn. Naast al deze taken is de voorzitter ook eindverantwoordelijk van de vereniging. Dat betekent dat ik erop toezie dat iedereen zijn of haar taken goed uitvoert en alles op rolletjes verloopt. Mocht dit niet het geval zijn, ben ik diegene die verantwoording moet afleggen naar de vereniging, het faculteitsbestuur of zelfs de universiteit. Zoals je ziet, heeft de voorzitter veel verschillende verantwoordelijkheden.
Zoals ik al zei, voer ik heel veel vergaderingen. Ik zit vergaderingen voor binnen onze eigen vereniging, het voorzitten houdt in dat ik de agenda maak voor die vergadering en zorg dat het goed verloopt. Ik geef iedereen dus de kans om zijn of haar mening te geven over een onderwerp en ik bepaal wanneer we over gaan tot het volgende onderwerp. Eén van de de vergaderingen zijn onze eigen BestuursVergadering (BV). Een BV is een wekelijkse vergadering met het 59ste bestuur der VCSVU, hier bespreken wij belangrijke ontwikkelingen voor de komende periode en specifiek voor die week. Deze vergaderingen zijn wel vrij luchtig, we beginnen altijd met een puntje ‘mededelingen’ waarin ieder bestuurslid kan vertellen wat hij/zij heeft gedaan. Ook tijdens de rest van de vergadering worden er vaak grappen gemaakt om het luchtig te houden. De agenda van deze vergadering verschilt elke week weer op basis van wat er speelt binnen de vereniging. Andere vergaderingen die ik voorzit zijn: BestuursOverleg (BO) en Algemene Leden Vergaderingen (ALV). Bij een BO vergader je met oud besturen van de VCSVU of het met K.N.P.S.V. om hun mening te peilen over bepaalde onderwerpen. De ALV is een vergadering die toch al een stuk serieuzer verloopt. Hier vertel ik wat er de afgelopen tijd allemaal is gebeurd binnen de vereniging en leggen wij verantwoording af voor de keuzes die wij hebben gemaakt. Gelukkig heb ik altijd mijn bestuur naast mij zitten, maar ik ben diegene die deze vergadering leid en waar eerst vragen aan worden gesteld. Je moet dus stevig in je schoenen staan om alle vragen en kritiek te kunnen doorstaan.
Naast het voorzitten van vergaderingen maak ik ook deel uit van belangrijke overleggen. Dit gaat dan bijvoorbeeld om maandelijkse overleggen met alle voorzitter van studieverenigingen binnen de bèta-faculteit en de facultaire studentenraad, de zogenoemde Bèta-Overleg (BO). Ook het maandelijkse met het faculteitsbestuur valt hieronder, dit doen we vaak tijdens de lunch en daarom heet dit ook het LunchOverleg (LO). Vaak hebben wij de BO en de LO achtereenvolgend. Hierin kunnen wij tijdens de BO alvast punten bespreken die wij willen vragen aan het faculteitsbestuur. Deze vergaderingen zijn altijd in het Engels omdat er altijd wel een paar voorzitters geen Nederlands spreken en zodat de notulen voor iedereen te lezen is in een later stadium. Punten die hier besproken worden zijn belangrijke onderwerpen zoals huisvesting, veiligheid en herziening van officiële documenten. Tijdens deze vergaderingen vermaak ik mezelf het meeste omdat er altijd (door de VU betaalde) lunch wordt geregeld. Dan hebben we ook nog de Universitaire Verenigingen Overleg (UvO) meetings, dit is een vergadering met alle voorzitters van alle studievereniging en de universitaire studenten raad (USR). Hier bespreken we dingen die belangrijk zijn voor de studievereniging en haar bestuurders. Deze vergaderingen sluiten wij vaak af met pizza die besteld zijn door de USR.
Dan hebben we ook nog de vele praatjes die de voorzitter houdt. Wanneer de VCSVU wordt uitgenodigd om ergens te mogen spreken, weet ik dat ik weer prachtige verhalen mag vertellen over onze vereniging. Zo worden wij bijvoorbeeld gevraagd om te spreken tijdens introductie week en op alumni symposium. Hier vertel ik waar de VCSVU voor staat, waar wij de afgelopen jaren mee bezig zijn geweest en hoe wij onze vereniging zien groeien. Naast dit soort informatieve presentaties, mag ik ook vaak verhalen vertellen die iets minder inhoud hebben. Het is gebruikelijk dat de voorzitter op verschillende momenten een mooie lullepot kan houden. Dit is bijvoorbeeld tijden Constitutie Borrels van andere studievereniging het geval. Hier mag ik zo lang praten als ik wil, natuurlijk schuilt er achter mijn lange verhaal erg diepe betekenissen en filosofische vragen waar besturen tot weken achteraf nog over wakker liggen. Daarnaast mag ik ook altijd spreken bij het jaarlijks diner van de afdelingen, de het leukste hiervan is dat elke voorzitter net eventjes langer wil spreken dan diegene voor hem. Kortom ik mag veel verhalen vertellen waar iedereen aandachtig naar wil luisteren.
Kortom dit is een hele takenpakket die elke vergadering, elke praatje, elke dag anders is. Je moet goed je mannetje kunnen staan om de mening van de vereniging te kunnen vertegenwoordigen en je moet er tegen kunnen dat je vaak in de spotlight staat. Ik heb mezelf afgelopen maanden heel erg kunnen ontwikkelen in deze rol. Ik heb veel dingen geleerd die ik allemaal mee zal nemen in mijn verder carrière na mijn studententijd. Ik hoop dat ik jullie een inzicht heb kunnen geven in de taken die ik zoal op mij neem als de mooiste functie binnen het bestuur. Want zoals ze zeggen: er is maar één functie 1.
