Lieve leden,

Het lijkt nog vroeg, maar we zijn alweer op zoek naar kandidaten die volgend jaar een bestuursjaar willen doen. Misschien lijkt jou dit ook wel leuk, maar heb je nog niet een goed beeld van wat alle functies inhouden. Daar gaan wij je bij helpen! Het is mij een waar genoegen om wat te mogen schrijven over de mooiste functie: voorzitter. Een veelzijdige functie met veel verantwoordelijkheden.

Als voorzitter ben je het gezicht van de vereniging. Dat wil zeggen dat je regelmatig voor een groep zal staan om wat te vertellen over de VCSVU en wat onze mooie vereniging allemaal te bieden heeft. Hierdoor ben je vaak ook het aanspreekpunt voor de vereniging. Dit brengt mij gelijk bij een van de leukste, maar ook spannendste taken van de voorzitter namelijk: speechen. Als voorzitter geef je vaak een speech. Bijvoorbeeld tijdens de introweek, tijdens het kerstdiner,  op gala’s en ALV’s van de afdelingen, en nog veel meer. Het is soms best spannend om voor een groep met zowel bekende als onbekende gezichten te speechen, maar oefening baart kunst en ik vind het altijd erg leuk als ik weer met trots iets mag zeggen over de VCSVU.

Een van de taken waar je je het meest mee bezig houdt als voorzitter is vergaderen. Er zijn heel veel soorten vergaderingen die je tijdens je bestuursjaar moet voorzitten of moet bijwonen om de VCSVU te vertegenwoordigen. Zo heb je wekelijks een bestuursvergadering (BV). De naam zegt het al; dit is een vergadering samen met je bestuursgenoten. Hier maak je als voorzitter elke keer een agenda voor, waar je op zet wat je wilt bespreken zoals afgelopen/komende activiteiten. Ook leidt je de vergadering.

Daarnaast heb je ook nog het BestuursOverleg (BO). Dit zijn vergaderingen met je eigen bestuur en andere besturen. Voor elke ALV heb je BO’s met oud-besturen en de Raad van Advies van de VCSVU om de stukken te bespreken en hun mening alvast te peilen. Voor elke AV van de K.N.P.S.V. heb je een BO met het K.N.P.S.V. bestuur waarin zij om advies vragen voor hun stukken.

Maandelijks vinden ook de BoLo’s plaats. Dit is een combinatie van het BETA-overleg (Bo) en de Lunch-overleg (Lo). Op de BoLo’s ben je aanwezig om de VCSVU te vertegenwoordigen. De Bo is een vergadering met alle voorzitters van de BETA-studieverenigingen en de Facultaire Studenten Raad (FSR). Hierin bespreken we vraagstukken en problemen waar we als vereniging tegenaan lopen zoals huisvesting, statuten of evenementen. Direct na de Bo volgt de Lo. Hierbij zijn dezelfde partijen aanwezig plus het faculteitsbestuur (en gratis lunch!). Het faculteitsbestuur helpt ons met het beantwoorden van de vragen die zijn besproken in de Bo of oplossingen te bedenken. Ook hebben zij vaak problemen die zij aan ons willen voorleggen waarbij wij input kunnen geven.

Een ander soort vergadering waar je als voorzitter aanwezig bent is het Universitaire Verenigingen Overleg (UVO). Dit is een overleg met de voorzitters van alle studieverenigingen aan de VU en de Universitaire Studentenraad (USR). Hier bespreken we dingen die belangrijk zijn voor alle verenigingen op de VU. Het is vergelijkbaar met de Bo, alleen dan is dit veel groter en zijn er dus meer verenigingen vertegenwoordigt dan alleen de Bèta.

Daarnaast maakt de voorzitter deel uit van de Raad van Presides, bestaande uit alle voorzitters/presides van de K.N.P.S.V. en haar afdelingen. Deze vergaderingen vinden plaats voorafgaand aan iedere AV van de K.N.P.S.V. In deze rol bereid je je als voorzitter voor door de stukken zorgvuldig door te nemen, advies uit te brengen en mee te denken over het gezamenlijke beleid. Daarbij is het erg belangrijk dat de voorzitter de belangen van de VCSVU actief en sterk vertegenwoordigt en zich inzet voor wat voor ons van belang is.

Dan komen we bij een van de spannendste, maar wat mij betreft ook leukste vergaderingen van het bestuursjaar: de Algemene Leden Vergaderingen (ALV’s). Deze vinden normaliter drie keer per jaar plaats en vormen een belangrijk moment binnen de vereniging. Tijdens de ALV bespreek je waar de vereniging zich de afgelopen periode mee heeft beziggehouden en leg jij als voorzitter verantwoording af over de gemaakte keuzes. Als voorzitter ben jij namelijk eindverantwoordelijk voor de vereniging. Soms betekend dat dat als er iets niet goed gaat dat jij dit moet verdedigen en verantwoording aflegt. Dit is niet altijd even leuk, maar het hoort er wel bij. Maar het leuke is dat als er dingen goed gaan dat jij hier lekker mee mag opscheppen, bijvoorbeeld over onze fantastische activiteiten die wij elke keer organiseren of over de statuten die getekend zijn!

De ALV is hét moment voor leden om vragen te stellen, feedback te geven en mee te denken over het beleid van de vereniging. Voor de voorzitter begint de voorbereiding voor de ALV al ruim anderhalve tot twee maanden van tevoren. Zo stel je een uitgebreide agenda op. Daarnaast maak je een script waarin je vastlegt wat je tijdens de vergadering wilt zeggen, zodat alles duidelijk en gestructureerd wordt overgebracht. Als voorzitter leid je de vergadering, bewaak je de structuur en geef je leden het woord. Daarbij krijg je regelmatig te maken met kritische vragen vanuit leden. Juist op die momenten is het belangrijk om stevig in je schoenen te staan en de vragen zo goed mogelijk te beantwoorden. Als voorzitter voelen de ALV’s een beetje als mijn moment om te shinen, omdat je er zo veel mee bezig bent. Naast kritische vragen is er vaak ook ruimte voor complimenten, en dat maakt zo’n ALV tot een klein geluksmomentje!

Het leven als voorzitter bestaat dus uit veel vergaderen, maar dat is zeker niet het enige. Als voorzitter ben je degene met het meeste overzicht en kennis van de vereniging: je verdiept je in statuten en reglementen, pluist procedures uit en zorgt dat alles klopt. Tijdens mijn bestuursjaar heb ik een onverwachte liefde ontwikkeld voor statuten en reglementen. Ik heb geleerd hoe beleid tot stand komt en hoe je de belangen van de VCSVU afweegt en verdedigt. Daarnaast heb ik mezelf ontwikkeld in het bewaren van overzicht, het presenteren voor een grote groep en het nemen van verantwoordelijkheid. Het voorzitterschap heeft mij niet alleen inhoudelijk veel geleerd, maar me ook laten groeien in zelfvertrouwen en leiderschap, vaardigheden die ik ook buiten dit bestuursjaar zal meenemen.

Ik hoop dat ik je hiermee een beetje in inzicht heb kunnen geven in wat de voorzitter van de VCSVU allemaal doet en misschien je wel helemaal heb overtuigd om te solliciteren voor deze prachtige functie. Mocht je nog vragen hebben kun je me natuurlijk altijd aanspreken.

Er is maar één functie 1 en dat is 1!

Dear members,

It may seem early, but we are already looking for candidates who would like to do a board year next year. Maybe this sounds appealing to you, but you do not yet have a clear picture of what all the different positions entail. That is where we come in! It is my great pleasure to write a bit about the most wonderful position of all: chair. A versatile role with many responsibilities.

As chair, you are the face of the association. This means that you will regularly stand in front of a group to talk about the VCSVU and everything our wonderful association has to offer. As a result, you are often the main point of contact for the association. This brings me straight to one of the most enjoyable, but also most exciting, tasks of the chair: giving speeches. As chair, you will give many speeches, for example during the introduction week, at the Christmas dinner, at galas, and at General Members’ Meetings (GMMs) of the departments, and much more. Speaking in front of a group with both familiar and unfamiliar faces can be nerve-racking, but practice makes perfect, and I always really enjoy being able to proudly say something about the VCSVU.

One of the tasks you spend most of your time on as chair is attending and leading meetings. There are many different types of meetings that you will chair or attend to represent the VCSVU. For example, there is a weekly board meeting (BV) with your fellow board members. As chair, you prepare the agenda for this meeting, including topics such as past and upcoming activities, and you lead the meeting. In addition, there are Board Consultations (BOs). These are meetings with your own board and other boards. Before each GMM, you have BOs with former boards and the VCSVU Council of Advice to discuss documents and gather their opinions in advance. Before each General Assembly of the K.N.P.S.V., you also have a BO with the K.N.P.S.V. board, in which they ask for advice on their documents.

On a monthly basis, the BoLo meetings take place. These combine the BETA consultation (Bo) and the Lunch consultation (Lo). At the BoLo, you represent the VCSVU. The Bo is a meeting with all chairs of the BETA study associations and the Faculty Student Council (FSR), where we discuss issues and challenges such as housing, statutes, or events. Directly after the Bo, the Lo follows. In addition to the same parties, the faculty board is also present (and there is a free lunch!). The faculty board helps answer the questions discussed during the Bo or think of possible solutions, and they also bring forward issues on which they would like our input.

Another type of meeting you attend as chair is the University Associations Consultation (UVO). This is a meeting with the chairs of all study associations at the VU and the University Student Council (USR). Topics that are relevant to all associations at the VU are discussed here. It is comparable to the Bo, but on a much larger scale, as it includes more associations than only the BETA ones.

In addition, the chair is part of the Council of Presides, consisting of all chairs/presidents of the K.N.P.S.V. and its departments. These meetings take place before each General Assembly of the K.N.P.S.V. In this role, you carefully prepare by reading the documents, giving advice, and contributing to joint policy discussions. It is very important that the chair actively and strongly represents the interests of the VCSVU and stands up for what matters to us.

This brings us to one of the most exciting, but in my opinion also the most enjoyable, meetings of the board year: the General Members’ Meetings (GMMs). These usually take place three times a year and are key moments within the association. During a GMM, you discuss what the association has been working on in the past period, and as chair you are accountable for the decisions that were made. After all, the chair is ultimately responsible for the association. Sometimes this means that when something does not go well, you have to defend it and take responsibility. That is not always easy, but it is part of the role. The nice part is that when things go well, you get to proudly highlight them, such as our fantastic activities or the signing of new statutes. The GMM is the moment for members to ask questions, give feedback, and contribute to the association’s policy. Preparation for a GMM starts about one and a half to two months in advance. You create an extensive agenda and write a script outlining what you want to say, to ensure everything is clear and structured. As chair, you lead the meeting, maintain structure, and give members the floor. You will also face critical questions, and in those moments it is important to stand your ground and respond as well as possible. For me, the GMMs feel like my moment to shine, because of the amount of time and effort invested in them. Alongside critical questions, there is often room for compliments as well, which makes a GMM a small moment of happiness!

Life as chair involves a lot of meetings, but that is certainly not all. As chair, you have the most overview and knowledge of the association: you delve into statutes and regulations, figure out procedures, and make sure everything is in order. During my board year, I developed an unexpected love for statutes and regulations. I learned how policy is created and how to weigh and defend the interests of the VCSVU. In addition, I developed skills in maintaining oversight, presenting to large groups, and taking responsibility. Being chair has not only taught me a lot in terms of content, but has also helped me grow in self-confidence and leadership, a set of skills I will carry with me beyond this board year.
